Our client are looking for an experienced HR Assistant to join their HR Team on a
Permanent contract. The HR Assistant will report to the HR Team Lead and will work closely with the HR Assistants and Co-ordinators to provide admin assistance with Recruitment, contracts, and other general ad-hoc duties.
Duties & Responsibilities:
This will be a varied role within a busy shared service HR department, where the main responsibilities will include, but will not be limited to:
Recruitment
· Rebranding JDs
· Liaising with Marketing to ensure roles are advertised on our websites
· Uploading jobs onto job boards – Findajob/LinkedIn/University websites etc
· Filtering through CVs when required
· Helping HR Assistants with paperwork for New Starters such as completing offer letters and contracts
· Providing cover for recruitment in the event of absence or annual leave
HR System Management
· Creating new accounts and inputting employee data into Breathe HR
· Tracking Harman (offshore development team) new starters/Breathe
· Ensuring employee records are up to date and maintained on our HR system
HR
· Supporting the HR Business Partner with employee queries
· Being first point of contact for HR queries, escalating to the HR Business Partner when necessary
· Dealing with policy and procedure related queries
· To collate and report on HR management information including headcount, absence and turnover
· To assist with the implementation of HR policies, processes and procedures
· To generate HR correspondence to internal and external stakeholders
· To work closely with the HR Co-ordinators & HR Assistants and provide cover in the event of absence
· To support HR Projects where applicable
General Administration Duties
· Raising POs/regular contact with Finance department to ensure invoices are paid (particularly for Recruitment)
· Creating door pass/clarity accounts for new staff
· Cover of HR Recruitment Inbox/HR Inbox when required
· Employee Action Notification forms - actioning new starter, leaver and ad hoc employee changes such as line manager, job title and department changes
Skills & Experience:
· A minimum of two years administration experience, preferably within HR.
· Experience with in-house recruitment
· Good administrative skills using MS office products
· Accuracy in data entry and recording/reporting
· Requirement to work with confidential and sensitive information
· Able to work under pressure and to tight deadlines
· Excellent organisation, interpersonal, communication and presentation skills, both orally and in writing
· Team player
