Salary: £45,000 to £50,000 DOE



Our client is seeking a new Head of Admissions for an independent prep school in the Hampstead area, just minutes away from the Heath where the children play every day. The successful candidate will ideally have experience working in Admissions in an independent school or in a customer service and sales focused role in another sector. You will possess strong commercial acumen and excellent sales skills. Working closely with the Head, you will deliver a comprehensive and high-quality Admissions service to all potential and current pupil applicants.

 

You will establish priorities and work independently on routine matters, seeking input from the Head and SLT on strategic matters. Manage and direct the admissions team. Continually look for ways to improve admissions process and customer journey.

 

Role objective:To achieve oversubscription at all entry points and full classes and year groups year-on-year.

 

Key Role:To be responsible to the Head for all aspects of admissions.

 

MUST HAVES:

 

·         Responsiveness - customer facing role so speedy responses essential

·         Understanding of education sector is desirable but not essential

·         Experience using Salesforce or another CRM system

·         Able to self-manage

·         Great verbal communication

·         Admissions experience in an independent school or sales experience with transferable skills

·         Extremely organised

 

Specific areas of responsibility below. The Head of Admissions may use the Admissions team as they see fit to ensure the below is fulfilled:

 

Admissions process & customer service:

 

·         Responsible for the overall functioning and performance of the Admissions department

·         Responsible for all admissions procedures and liaison with the Head regarding offers of places and acceptances

·         Organise communications with new parents, dealing quickly and effectively with any enquiries and sending out induction packs to new students

·         Ensure all incoming enquiries by phone, email, visits and brochure requests within 48 hours

·         Review mystery shopping reports and take responsibility for implementing improvements agreed upon after each inspection

·         Own the design and implementation of the School's Best in Class Admissions & Customer Service Guide

·         Organise all open days, school tours, entrance exams and interviews

·         Support the Head and wider team with all internal events to ensure delivered in an appropriately professional, slick and effective manner in alignment with the school brand and values

·         Ensure the maintenance of information regarding admissions on the school website and on marketing materials

·         Maintain regular and personal contact, utilising data logging to keep track of all contact with our current feeder/Prep schools and nurseries and attend events as appropriate

·         Research and establish contact with new feeder schools and nurseries, including Head-to-Head contact to establish relations

·         Develop and maintain a detailed knowledge of feeder and competitor schools and nurseries

·         Administer all offers, reference requests, acceptances and deposit payments

·         Utilise and maintain the Salesforce database with all admissions data, reporting to the Board on at least a termly basis on Key Performance Indicators (E.g. conversion rates at various stages of the admissions process)

·         Keeping track of projections of student numbers per year group for following academic year especially, taking into account expected leavers and joiners. Maintain a database for leavers and keep records of resignations

·         Keep accurate and up-to-date records of new admissions, places available, waiting lists, applications and offers across all year groups

·         Liaise with all new parents to ensure a smooth entry to the school. Support the transition with induction information to parents, timetables and student planners

·         Liaise with SENCO regarding identifying any SEN provision for potential joiners

·         Liaise with academic staff for any taster/trial days, and collect internal debriefing documents to determine if an offer can be made

·         Be a persuasive ambassador for the school at recruitment fairs and events

·         Provide regular recommendations and new ideas to Head and central Marketing & Admissions team on sales strategies and conversion improvements

 

Compliance & UKVI

 

·         Take responsibility for on rolling and off rolling students

·         Ensure Admissions Register is kept up to date with details of leavers and joiners, including chasing previous and next schools to confirm start / end dates

·         Manage communications with the Local Authority around children who leave school at a non-standard point

·         Ensure pupil school files are maintained with the required information, joiner forms and details of previous schools

·         Manage communications with previous and next schools to ensure start dates are received and connections are made with the DSL for the transfer of safeguarding records

·         Ensure that mandatory joiner forms are submitted by parents before any child starts at the school

·         Carry out reviews on student files to ensure compliance with UKVI regulations

 

Data & Reporting

 

·         Provide regular reports on key admissions metrics for the Head, Managing Director, Finance Director

·         Provide admissions update for termly Governors meetings

·         Ensure all enquiries and leads are captured in Salesforce, and tracked throughout their admissions journey

 

Other considerations:

 

·         The Head of Admissions should work closely with the IT support team to put in place effective technology solutions that minimise manual input and improve the efficiency of marketing and admissions processes

·         Members of staff should, at all times work within the framework provided by the school's policy statements to fulfil the general aims and objectives of the school

·         To undertake such other duties as the Head, Finance Director, or any other Board member, may reasonably request. To carry out the roles outlined in this job description to the highest level.
