Working for this world-renowned company you will provide support to the HR team both in the UK and Europe.

 

As part of the European HR team, your role is to assist and support the day-to-day smooth running of the department and the evolution of our HR services by supporting the development, and implementation of HR initiatives and systems.

·         Bachelor’s degree or higher in relevant subject / CIPD Qualification in HR (desirable but not required)

·         Experience in a similar role

 

Role Accountabilities:

 

Assist the European HR Coordinator with the following:

 

·         All aspects of the Recruitment process for UK-based staff, including; New Hire Form approvals, advertising across various avenues, developing and maintaining vital relationships with external clients/organizations and musical institutes, liaising with candidates, line managers, and agencies, reviewing and processing applications, arranging interviews and managing diaries and offer stages.

·         Onboarding – including producing and processing of offer letters and contracts, requesting and processing relevant documentation from new starters and line managers in preparation for their start date, setting up new starters on systems and reports, arranging the New Starter Induction Schedules, and coordinating the new starters first day within the company.

·         Staff Training – Arrange and coordinate training courses for UK-based and REG staff, liaising with external clients and organizations, researching relevant and effective courses, arranging bookings and travel, managing diaries, and assisting staff with enquiries.

·         RTA – administration of EU staff within the system

·         RJA Reporting - Produce and send quarterly EU Organisational Charts and Headcount sheets, as well as Monthly Update reports, to EU HR Coordinator for approval before sending to RJA – collating EU updates and notifications, and updating documents and systems, as necessary.

·         Produce monthly European/Departmental organization chart monthly, updating where necessary.

·         Produce and manage the ‘People Detail Sheet’ for Europe, updating and reporting on the document monthly and as necessary.

·         Send monthly Organisation Charts, to each SU within Europe, for their reference and use – amending the chart as requested, also producing departmental charts, as and when necessary.

·         Update SharePoint and the Retreat each month with updated Organisation Charts.

·         Produce and send End of year reports, to REG Finance team, as and when requested.

·         Manage Monthly Payroll reports, ensuring documents are uploaded monthly, chasing outstanding SU’s, and updating the ‘People Detail Sheet’.

·         Action and coordinate the administration of Leavers within the company, completing Leaver Checklists

·         Support the REG Executive Assistant with Company Meetings and Events if required

·         Staff Awards – arrange and assist staff with travel arrangements.

·         Diary Management and coordination of RUK, REG, and Global (based in Europe) employee’s; notable anniversaries/dates

·         Manage and create/update the approval flows when necessary.

·         Upload documents for UK Based staff and monitor the approval process to produce the necessary documentation and update the relevant systems/reports/colleagues.

·         Company Tech Purchases – responsible for finding a price as per company policy and uploading the approval form to the relevant approval flow. Inform the employee of the price and when the purchase has been approved.

·         Produce and manage the Fleet Info and Mileage Sheet – updating details monthly.

·         Take care of any parking fines/penalty charge notices.

·         Update company car insurance as and when necessary.

·         Arrange hire car insurance for UK-based employees as and when necessary.

·         Absence Management - Set up/remove employees in Protime where necessary. Update the system as and when required.

·         Responsible for monitoring any sickness absences, ensuring line managers are logging the absences when required.

·         Responsible for registering any special absences in the system for UK-based staff e.g., Compassionate Leave.

·         Provide reports from the system as and when requested.

·         Use Page Tiger system to create company documents/trainings or emails at the request of senior management.

·         Manage and update the Performance Management system, as and when required.

·         Produce and develop forms and reporting tools within the system.

·         Assist EU staff on the system when requested.

·         Produce and review Performance Management reports, to highlight staff issues and development areas, to encourage and advise change and improvements within the company.

·         Arrange and coordinate annual pension meetings, for UK -based staff, with our Pensions advisor – managing bookings, diaries, and lunch for staff.

·         Update and review Pensions details on ADP, as and when necessary.

·         Promote various benefit schemes to UK-based and European staff where relevant – providing relevant information on applications and processes as necessary.

·         Produce and complete applications for benefits schemes, notifying European HR Coordinator when complete.

·         Purchasing Cards – manage receipts for REG purchasing cards, producing, and sending monthly reports, on behalf of the Head of European HR and European HR Coordinator.

·         Manage and update HR folders and documents on SharePoint, the Retreat, and RTA, following compliance standards and ensuring the smooth running of the HR team.

·         Administration of mail as and when required.

·         Create wellness content and web pages for the Retreat.

·         Use Page Tiger to create wellness emails regarding any updates on The Retreat.

·         Encourage participation in wellness challenges and ensure all EU colleagues are aware of wellness updates.

·         Liaise with the Private Healthcare advisors, updating members and staff details.

·         Amend Private Healthcare details on ADP, as and when necessary.

·         Liaise with the company doctor, managing his diary/visits and arranging Annual Health Checks, Flu vaccinations for UK-based staff, and general appointments for all European staff.

·         Arrange medicals and blood tests for senior management, liaising with clients and hospitals across the UK, managing diaries, results, and payments.

·         Promote and discuss the company doctor with staff, suggesting appointments when needed, for his support and guidance.

·         Notify all European staff of upcoming clinics/visits.

 

Assist the European HR Team with the administration, coordination, and development, of UK HR and company-related documents. Send updated documents to UK-based staff (and sometimes EU-based staff) when necessary, collating, filing, and auditing the process. Ensure a high level of sensitivity and confidentiality, when coordinating and processing documents, adhering to policies and compliance. Documents include;

 

·         European Staff Handbooks

·         Contracts and Offer Summary Letters

·         Employment Letters i.e. Probation, Salary & Benefit Change, References

·         Performance Management Forms and Framework

·         Staff Handbook and Policies & Procedures

·         Role Profiles and Job Descriptions

·         Legal Compliance

·         GDPR

·         Employee Relations Caseworks
